Internship | Process and Documentation Inventory

About this position

The Space Systems Engineering team is looking for a motivated intern who enjoys bringing structure to complex information environments. Within our team, a large amount of information is spread across different SharePoints, email archives, newsletters, and team folders. To improve quality, efficiency, and accessibility, we aim to create a clear and complete overview of all documentation and processes. Your work will directly support better knowledge management and will connect to ongoing efforts to improve the user experience of our digital environment. This assignment is suitable for students who want to develop practical skills in documentation management, process mapping, and collaboration.

What will be your role?

You will map, analyze, and organize all existing documentation sources within the Space Systems Engineering team. Through a combination of desk research, interviews, and collaboration with colleagues, you will create a comprehensive and usable inventory of documentation and processes. Your activities will include:

  • Mapping documentation sources, including SharePoints, emails, newsletters, and team folders.
  • Interviewing team members to identify undocumented processes and information flows.
  • Creating a central inventory in a structured format, for example a spreadsheet or SharePoint list.
  • Proposing improvements for documentation management, structure, and accessibility.
  • Collaborating with the UI/UX intern to ensure the inventory supports improved navigation and user experience.
  • Your results will help the team work more efficiently and will provide a solid foundation for future improvements.

What we expect from you

You are a student who enjoys creating clarity in environments where information is scattered. You are curious, structured, and comfortable asking questions when information is not immediately clear. Students from different educational backgrounds are welcome to apply. In addition, you bring:

  • Strong analytical thinking and a structured working approach.
  • Attention to detail when reviewing and categorizing documentation.
  • Interest or experience in SharePoint or similar document management systems, or the willingness to learn.
  • Good communication skills for interviewing colleagues and summarizing findings.
  • Collaboration skills and openness to working with other interns and team members.
  • Basic project management skills, such as planning your work and tracking progress.

The selection process

Important to be aware of before applying:

  • Before the start of the internship, the internship agreement from TNO needs to be signed. For students at a college or university based in the Netherlands, TNO uses the UNL-template (supplemented with a number of specific agreements from TNO). For students of foreign and MBO educational institutions, the TNO internship agreement applies. TNO does not sign any other internship agreements.
  • Before the start of the internship, the educational institution will need to confirm in writing that:
    • 1) you are enrolled at the educational institution during the internship, and;
    • 2) the internship takes place as part of the programme of the study.
  • The confirmation of educational institution takes place by signing the UNL template or forms prepared by TNO.
  • Interns at TNO must be in possession of a Dutch residential address at the start of the internship. Performance of internship activities from abroad is not possible.
