About this position

What will be your role?
You will be part of the AER (Air Quality and Emissions Research) department in Utrecht. The department consists of about 40 people. These are scientists, project leaders, consultants and managers with 1 to 40 years of experience in a variety of fields. Over the past few years, the team has grown tremendously into a young, dynamic, international and diverse team. All communication within the group is in English. Your job is incredibly varied: you will have in a range of duties each day, and you will always be responsible for determining what is needed. How you organise your day is entirely up to you. In the AER department, you will support the departmental management (head of department and team leaders) and departmental staff. You will manage the agenda of the head of department, plan and join departmental and broader consultations and other meetings, take minutes and answer questions, and ensure proper support for the team. You will also support the project leaders in facility and logistics matters where necessary. Are you unsure about something? No problem. You can check with your colleagues within TNO. You will foster good cooperation with the project management assistant and management assistants from the other CSI (Circularity & Sustainability Impact) department to ensure that support for both departments is always in place.
You are always there for the employees of the department, including for urgent matters. If anyone from the departmental management calls in sick, you should then cancel any of their appointments for that day and keep an eye on rescheduling. Does a meeting venue need to be arranged for lunch tomorrow? You will organise this in no time. You arrange everything for new staff. You also handle orders, arrange business trips and always keep an overview, both for yourself and management. And do you see that something could be better? Speak up. We appreciate you thinking along. In addition, if you wish, you can take up other departmental or TNO-wide tasks. That way, your job will never be boring!
What we expect from you
You are often just a step ahead of managers and your other colleagues. Because you are good at planning and prioritising, you see what needs to be done and can quickly switch between different tasks. And if something isn’t feasible, you communicate it clearly and honestly. In doing so, you show genuine interest in your colleagues, who - partly due to your optimistic attitude - are happy to come to you to ask something.
- You have at least 3 years' experience as a management assistant or in a similar position.
- At least a completed MBO degree, preferably in the field of management assistance, secretarial support or administration.
- You have an excellent command of support systems and common Microsoft Office applications, such as Outlook, Word, Excel and Sharepoint.
- You have good communication skills (written and oral) in Dutch and also in English.
- Experience with modern supporting AI tools such as CoPilot or similar tools that support you in carrying out your work is a plus.
- Excellent organisational skills and ability to prioritise.
- Proactive and flexible working attitude.
- Good communication skills and customer-oriented attitude.

The selection process
Please apply before 5th of October, 2025 The selection process comprises two interview rounds. The preliminary interview takes place between 13th of October till 17th of October, 2025. In a final meeting we will discuss the terms of employment and your tailored benefits package. We aim to finalize the entire process within four weeks.
The selection process may include an online assessment and a reference check.
A certificate of Conduct (VOG) is required before starting a new job at TNO.
