What will be your role?

One part of the role will be management support and the other part proposal support. 
The management support of the department (80 people) will be together with another management assistant. In this role you are the point of contact for the department manager, deputies, and other team members. So being one of the connecting persons in the department. You will have a wide range of tasks, which require a high degree of flexibility and accuracy in their execution. 

The other part of the role is as proposal support by making an important contribution to a professional and compliant proposal process within the roadmap Space and Scientific Instrumentation TNO and working closely with the proposal teams. You will support the proposal process by providing structure, clarity, and quality. You will ensure accurate system registration, high-quality proposals, and reliable reporting. Together with other colleague working in the proposal process, you ensure proper coverage and support for the department.
You work independently, switch easily between tasks, and manage priorities effectively.
Additionally there will be opportunities to take on other tasks to ensure your role remains varied and engaging.

Your responsibilities include, among others:

  • Supporting the RM, 2dRM’s and Team member.
  • Supporting proposal managers in the administrative and procedural aspects of the proposal process.
  • Reviewing and supporting quotations and contracts, including templates, terms & conditions, and digital signatures.
  • Intern coordination for the department, collecting/chasing intern assignments and registration/coordination of interested interns.

What we expect from you

In order to fulfill this role properly, we expect you to meet the following profile:

  • An HBO working and thinking level.
  • At least 5 years of experience as a management assistant, or in a comparable role.
  • Strong communication skills.
  • Good command of the English language, spoken and written.
  • Good practical skills in Microsoft Office applications(Outlook, Word ,SharePoint, but interest in Gen AI possibilities to enhance your work.
  • Ability to handle pressure and tight deadlines.
  • Weekly availability of 32-40 hours.

We offer a gross monthly salary between € 3,200 and € 4,400 (based on your knowledge and experience), 8% holiday pay, a 13th month bonus of 8.33% and a flex budget (5.58% + € 180). The selection process
