About this position

As a Management Support Professional, you are indispensable—thanks to you, your colleagues can do their work even better. You will be working within the secretariat of the research group Building Materials & Structures, which is part of the Mobility & Built Environment unit in Delft.

What will be your role?

As a Management Support Professional, you are essential: your positive, driven, and flexible attitude enables your colleagues to perform at their best. You ensure the department runs smoothly by being proactive and taking care of tasks efficiently.

Your role is highly varied and independent. Every day, you handle a wide range of tasks and largely determine how to structure your day. You proactively identify what needs to be done and take responsibility. You schedule appointments, take minutes during meetings, and draft and edit (technical) reports. You also support the research manager and their deputy, for example with calendar management.

Additionally, you organize events and business trips, take on project-supporting tasks, and identify bottlenecks that you tackle independently and with a solution-oriented mindset. You maintain strong relationships with project leaders, research staff, management, and management support across various departments within the Delft NEXT building. You’re a true team player: you help where needed and take over tasks from colleagues when the situation calls for it.

You will be joining the Building Materials and Structures department, a close-knit group of around fifty experts. Together with your future colleagues, you form a dynamic team of pioneers in the construction sector, contributing to future-oriented building. What we expect from you


You are proactive, communicative, and accurate. You show that you can quickly pick things up. You are stress-resistant, able to set priorities well, and flexible. Above all, you are a service- and customer-oriented team player. You are strong in organizing (events and meetings), think ahead, and dare to take responsibility for decisions. You are capable of identifying connections between different tasks and the resulting priorities. You work well both independently and in a team, and you are a true connector.

You support tasks such as scheduling appointments, taking minutes during meetings, drafting and editing (technical) reports, and managing the calendar of the research manager and their deputy. You are also responsible for organizing events and business trips and perform various project-supporting tasks. Furthermore, you identify bottlenecks and solve them proactively, and you maintain strong relationships with project leaders, research staff, management, and management support from various departments working in NEXT. You are a true team player, help where needed, and are willing to take over tasks from other management support professionals when the situation requires it.

What else you bring:

  • A completed relevant MBO (secondary vocational education) degree and at least 8 years of experience working as a management assistant or secretary, preferably within a knowledge institution;
  • Extensive experience with MS Office (including SharePoint), and you quickly find your way around support ICT applications;
  • The ability to quickly scan reports and proposals for language and format them according to our house style;
  • Strong skills in organizing meetings/events and thinking ahead;
  • Excellent communication skills, outstanding command of Dutch (spoken and written), and proficiency in English (written and spoken).
